How it turns an inventory, crew hours and truck time into a moving estimate
The file has six tabs: you set up the company once, keep supply prices current, and make one quote per move.
- Start HereA short guide to which cells you type in, and in what order. Setting up the moving company takes about one evening.
- Shop SetupYour yearly costs, your movers (you included) and your trucks, turned into one break-even cost per labour hour.
- Price ListWrap, tape, boxes, bags and pads at your supplier's prices. Any price you haven't re-checked in 6 months turns red.
- QuoteSupplies, crew size and hours for each stage of the move, truck hours, permits and the forgotten-cost list, then the price and the deposit.
- Customer QuoteThe one page the customer sees: what is included, the price, the deposit and your moving terms.
- Job LogAfter the move, the real hours go in, so you learn how long your crew really takes for a 1-bedroom versus a 3-bedroom with a garage.
What is a break-even rate? It is what one labour hour on a move has to bring in to pay the wages, yours included, and every other cost of running the company, before any profit. In the example it is $39.62, so a 3-person crew costs about $119 an hour before the truck. The true hourly rate guide explains it, and what a moving company charges per hour builds it into crew rates.
Prefilled example built-in
The file comes filled in with a made-up moving company and its $1,762 local move quote, so you see a finished quote before you type in your own numbers.
The sample move is a 3-bedroom home of about 6,000 lb from the inventory, with 60 boxes the customer packed. Pick-up is a 2nd floor walk-up, the crew is 3 movers with a 26 ft truck, and they wrap furniture, take the beds apart and put everything back by room.
| A | B | |
|---|---|---|
| 1 | Part of the price | Amount |
| 2 | Supplies, crew, truck and parking permit | $1,114 |
| 3 | Easy-to-miss costs | $223 |
| 4 | Markup, cushion and profit | $425 |
| 5 | Price to the customer | $1,762 |
The $425 is what the company keeps after every cost, the owner's wage included. Spread over the day, the move earns about $57 per labour hour against the $39.62 break-even, and sells at about $185 an hour for 3 movers and a truck. The step-by-step version is on how much to charge for moving services.
$223
That is what the easy-to-miss lines alone added to this one example quote. It is about 4 times what the calculator costs. Miss them once and the file has paid for itself.

Why one hourly rate for every move loses money
A lot of local movers pick an hourly rate by looking at the company down the road, then send the same crew and truck to every job. That rate knows nothing about your truck payment, your stairs, or the hour and a half your crew spends driving back to the yard.
Here is the simple math. At the example's $39.62 break-even, 3 movers cost about $119 an hour before the truck moves. Charge $125 an hour for 3 movers and a truck and about $6 an hour is left to pay for the truck, fuel and any profit. That rate can look fine on a busy Saturday and still lose money over a season.
The calculator starts from the move instead. It prices the inventory, the crew hours for each stage and the truck hours, then shows you the hourly rate the move works out to. If you sell by the hour, you still have an hourly number to give the customer, and now you know it covers the day.
Stairs, the drive back to the yard and the other moving costs it catches
The Quote tab won't call a quote ready until each of these has a Yes, No or N/A:
- The inventory call and the customer's sign-off, the room-by-room list the whole price rests on.
- The drive back to the yard after the last stop, with the crew still on the clock.
- Stairs at pick-up or delivery, plus elevators and long walks from the truck to the door.
- Closets, the garage and under the beds, the things a quick inventory misses.
- A parking permit so the truck can hold the street at pick-up.
- A damage claims reserve for dings and scratched floors. Left as No in the example on purpose, so the warning stays until you set your own number.
Exactly what you get
You get a single spreadsheet, downloaded right after checkout, that runs in Microsoft Excel or Google Sheets. You pay once. There is nothing to log into and no monthly fee.
- The six-tab moving calculator, ready for your own crew, trucks and supply prices.
- A made-up moving company with a finished 3-bedroom move, so you can see every tab working first.
- Moving terms you can edit: the price rests on the approved inventory, stairs or parking not mentioned are billed by the hour, and pianos and other bulky items are quoted on their own.
- A Job Log that compares quoted and real hours on every move, the habit explained in job costing.

Who it's for: local movers running 1 to 3 trucks
It fits owner-operators and small local moving companies of about 1 to 15 people with 1 to 3 trucks, especially owners who copied an hourly rate and want to know if it covers the truck and their own pay. Two movers doing apartments or three crews doing houses, it works the same, because each move is priced from its own hours and your own costs.
It is not for interstate carriers pricing by weight and mileage from a tariff, bigger companies already estimating and dispatching inside a moving CRM, or anyone who only wants a blank estimate form. To check your crew's floor first, try the free true hourly rate calculator.
Stop charging one hourly rate for a studio and a four-bedroom alike. Price each move from its inventory, crew hours and truck time, catch the hours around the lifting, and see which moves made money.
