Price tiered cakes, cupcakes and cookie orders from your own costs
You enter what your home kitchen or studio costs to run once. After that, every cake is priced from your own numbers, not from what another baker charges.
- Know what an hour at the bench really costs Your license, insurance, the kitchen's share of power and the car, plus your own pay, become one break-even rate per hands-on hour.
- Price the whole cake, not just the batter Baking, filling, covering, fondant colors, cut-outs, putting the tiers together and bought-in toppers each get their own line.
- Still quote per serving You get the order total and the price per serving, plus a few other serving counts, from the same numbers.
- Get paid for the hours around the cake Messages, the store run, delivery and setup sit on a checklist that has to be answered before the quote is ready.
- Send a clean quote the same evening A one-page customer quote with the servings, deposit, card price and cake order terms, ready to print or save as a PDF.
- See which orders really paid The Job Log keeps every quote, booked or not, and the real hours each cake took.

How it turns ingredients and decorating time into a per-serving cake quote
The file has six tabs. You set up your kitchen once, update ingredient prices when the store changes them, and make one quote per order.
- Start HereWhich cells to fill in first, in plain words. Setup takes about one evening.
- Shop SetupYour yearly kitchen costs, mixer, oven and who works, turned into one break-even rate per hands-on hour.
- Price ListFlour, butter, fondant, boards, dowels and boxes by the pound or piece, each dated so an old grocery price stands out.
- QuoteEnter the servings, the minutes for each task and any bought-in topper. Answer the checklist and it gives the order total and the price per serving.
- Customer QuoteThe page your customer sees: the cake, the price, the deposit and your terms.
- Job LogAfter the event, write down what the cake really took, and it shows whether the order made money.
What is a price per serving? It is the order total divided by the number of guests the cake feeds. It is the last step, not the first: the hours and ingredients set the total, and the servings only split it up. The cake pricing guide shows the whole calculation.
Prefilled example built-in
The file comes filled in with a made-up cake company and its $755 graduation cake quote, so you see a finished quote before you type in your own numbers.
The example is a home studio with the owner and a part-time helper, with a break-even of $36.47 per hands-on hour. Its sample order is a 3-tier cake (5, 7 and 9 inch) for 65, vanilla and chocolate with buttercream, fondant in 6 colors, cut-out decorations and a name topper, delivered and set up.
| A | B | |
|---|---|---|
| 1 | Part of the price | Amount |
| 2 | Ingredients, supplies, decorating time and the topper | $365 |
| 3 | Easy-to-miss costs | $199 |
| 4 | Markup, cushion and profit | $191 |
| 5 | Price to the customer | $755.23, or $11.62 a serving |
The $191 is kept after every cost, both wages included, and the cake brings in about $53.72 per hour of work. The time around the cake costs more than the ingredients do. The full walk-through is in how much to charge for a cake.
$199
That is what the easy-to-miss lines alone added to this one example quote. It is about 3 times what the calculator costs. Miss them once and the file has paid for itself.

Why pricing a cake from the grocery receipt keeps you broke
Many home bakers price by adding up the ingredients and doubling it, or by matching what a friend charges. Both miss the part that costs the most, which is your time: in the example cake, ingredients and supplies are well under a sixth of the price.
A simple check shows the problem. Take a $120 cake that used $35 of ingredients and supplies and 10 hours of baking, decorating, messaging and driving. That leaves $85 for 10 hours, or $8.50 an hour, before the license, the power bill or the car are paid.
This calculator starts from your real hourly rate, prices each task on the cake, then adds the ingredients on top. The per-serving price comes out at the end, and it is one that pays for the hours that design took.
Messages, the store run and delivery: the cake costs it catches
The Quote tab won't mark a quote ready until each of these lines has a Yes, No or N/A:
- Messages, the design sketch and the quote, the back and forth before anyone pays a deposit.
- The store run, your time in the store and the fuel, not just the receipt.
- Small supplies, like parchment, gloves, paper towel and piping bags.
- Delivery and setup at the venue, driving both ways, carrying tiers and finishing on site.
- A backup batch for buttercream that splits or a layer that sinks.
- Extras added after the quote, like one more flower or pearls. Left as No in the example deliberately, so the warning stays until you decide how to price them.
Exactly what you get
A single .xlsx file you download right after checkout. It opens in Microsoft Excel and uploads to Google Sheets, with no macros, no subscription and nothing to log in to.
- The six-tab calculator, set up for cakes, cupcakes and cookie orders.
- A finished sample cake, the 3-tier graduation order, to study before you type over it.
- Cake order terms you can edit, such as design changes after approval being re-quoted and larger tiered cakes going out as delivery only.
- A Job Log that shows which designs ran over their hours, the habit explained in job costing.

Who it's for: home, cottage and small-studio cake makers
It fits home and cottage bakers and small cake studios taking custom orders, and anyone who quotes per serving and wants to know the number covers their time. Baking alone on weekends or running a studio with a helper, a dozen cupcakes or a wedding cake for 150, it works the same way, because every hour and ingredient in it is yours.
It is not for wholesale or retail bakeries that need inventory and recipe-scaling software, or anyone after a blank cake order form. To see your hourly rate before buying, try the free true hourly rate calculator, and read how to find your true hourly rate.
Stop pricing cakes from the grocery receipt or the bakery down the road. Price every tier, topper and delivery from your own costs, catch the hours nobody pays for, and see which orders made money.
