How it turns squares, pitch and crew hours into a re-roof quote
The file has six tabs. You set up the company once, update shingle and underlayment prices when your supplier changes them, and fill in one Quote per roof.
- Start HereThe order to set things up in, from crew and trucks to your supplier's prices. Most roofers finish it in one evening.
- Shop SetupYour yearly costs, your crew (you included) and your trucks and hoist, turned into one break-even rate per billable hour on a roof.
- Price ListShingles by the square, starter and ridge cap by the bundle, underlayment and ice and water by the roll, drip edge, vents and pipe boots, each with the date you last checked it.
- QuoteType the squares and pick the materials, and it adds waste. Add the crew hours for each stage from set-up to clean-up, the dumpster and permit, answer the checklist, and it gives the price and the price per square.
- Customer QuoteThe page the homeowner signs: scope of work, price, deposit and your roofing terms.
- Job LogAfter the roof is done, the real crew hours go in, so you know whether it paid.
What is a break-even rate? It is what one hour of your crew on a roof has to bring in to pay the wages, the comp and every other cost of the company, before any profit. Estimate visits, time on the road and rain-outs are paid but not billed, so they push the rate up. The true hourly rate guide explains it step by step.
Prefilled example built-in
The file comes filled in with a made-up roofing company and its $14,599 re-roof quote, so you see a finished quote before you type in your own numbers.
The example company is an owner who estimates plus a crew of three, with a break-even of $68.55 per billable crew hour. Its sample job tears off one layer and re-roofs 20 squares at 6/12 pitch with architectural shingles, ice and water at the eaves and valleys, new drip edge, ridge vent and new pipe boots.
| A | B | |
|---|---|---|
| 1 | Part of the price | Amount |
| 2 | Materials, labour, equipment, dumpster and permit | $10,928 |
| 3 | Easy-to-miss costs | $809 |
| 4 | Markup, cushion and profit | $2,862 |
| 5 | Price to the customer | $14,599 |
That works out to about $730 a square. The $2,862 is left over once every cost is paid, the owner's own wage too, and the crew's time on this roof earns about $101 per labour hour against the $68.55 break-even. How to charge for a roof step by step is on how much to charge for roofing, and how the crew rate is built is on roofer hourly rate and markup.
$809
That is what the easy-to-miss lines alone added to this one example quote. It is about 16 times what the calculator costs. Miss them once and the file has paid for itself.

Why one price per square loses money on steep and cut-up roofs
Most roofers sell by the square, and many keep one per-square number in their head for every roof. The trouble is that a square only measures area. It says nothing about the pitch, the valleys, a second layer to tear off, or a two-storey drop to the ground.
Take two 20-square roofs. The example's simple 6/12 roof needs about 78 crew hours. Say a steep, cut-up roof of the same size needs 110. At a break-even of $68.55, those extra 32 hours cost about $2,194 before any profit. Quote both at the same price per square and the steep roof hands that money back.
The calculator prices each roof from its own materials and hours first, then shows the price per square at the end. You still give the homeowner a per-square number, but it covers what that roof really takes.
Climb-and-measure visits, rain days and the other roof costs it catches
The Quote tab won't call a quote finished until each of these has a Yes, No or N/A:
- Climbing, measuring and photographing the roof before you quote, on the roofs you lose as well as the ones you win.
- Follow-up calls and texts until they sign, hours of the owner's week that belong in the price.
- The supplier's rooftop drop fee, rarely on the takeoff.
- Chimney or wall flashing you find bad, noted to the homeowner in writing so the next leak call is not yours to eat.
- Rain days, when the roof gets tarped and the crew goes home paid.
- Steep or high roof time, and a rep's commission when a rep sold the job.
- A leak callback reserve. Left as No in the example on purpose, so the warning stays until you set your own number.

Who it's for: residential re-roof and repair crews
It fits owner-operators and roofing companies of about 1 to 15 people doing residential tear-offs, re-roofs and repairs, and roofers who price per square from memory and want to know what that number covers. One roofer with a helper or three crews out at once, a patch job or a 40-square house, it works the same way, because the rate and the prices are all yours.
It is not for insurance restoration work priced line by line in Xactimate, large companies already estimating and job costing inside a CRM, or anyone who only wants a free squares calculator. Want your crew rate first? Work it out with the free true hourly rate calculator.
Stop pricing roofs from the number the company down the road uses. Price every re-roof and repair from your own costs, catch what usually gets missed, and see which roofs made money.
